Documentation Compliance Software in Australia: NDIS, Aged Care and DVA
NoteGate is NDIS, Aged Care and DVA documentation compliance software by AgenticX Australia.
Documentation compliance software checks the records care providers write, such as shift notes, incident reports and care plans, against the rules that apply to the participant or client and the sector, before the record is saved. NoteGate is Australian documentation compliance software for NDIS, aged care and DVA providers. It returns weak records to their author with specific guidance, keeps the accepted record with its history, and assembles audit evidence from it.
What is NoteGate?
NoteGate is documentation compliance software for NDIS, aged care and DVA providers in Australia, published by AgenticX Australia (Queensland). It validates shift notes, incident reports and care plans against participant-specific requirements and the relevant standards before they are saved, tracks risks and corrective actions, and builds the audit pack. Support workers stay the authors of their notes. NoteGate never writes shift notes or incident reports, and it does not determine whether a provider is compliant.

Which sectors does NoteGate support?
NDIS
Shift notes, incidents, risk registers, care plans and audit packs checked against participant-specific rules and the NDIS Practice Standards.
Aged care
Notes and incident records checked against the Strengthened Aged Care Quality Standards and Serious Incident Response Scheme requirements.
DVA community nursing
Visit notes checked before saving, with correction guidance and an evidence trail for DVA-funded services.
Each sector page sets out which rules apply and which of them are regulatory requirements, as opposed to NoteGate’s own validation practice. NoteGate supports a provider’s documentation governance. The auditor, the NDIS Commission, the Aged Care Quality and Safety Commission or the relevant department decides whether a provider meets its obligations.
What are the NoteGate modules?
- Shift note validation: checks each note before it is saved.
- Plan Gate: checks a care plan against the relevant standards and returns a structured gap report.
- Incident reporting: guided capture with reportability triage, linked to the notes around the event.
- Risk and compliance intelligence: a risk register and corrective actions built from validated records.
- Plan review evidence and the audit pack: assembled only from accepted records.
How is documentation compliance software different from other systems?
Care providers usually run several kinds of system. They do different jobs, and many providers need more than one.
| Kind of system | Its main job | Examines the content of each record? |
|---|---|---|
| Documentation compliance software (NoteGate) | Checks the quality of the evidence before it is saved | Yes, against participant-specific rules and the relevant standards |
| CRM or care management system | Runs the service: participants, rosters, claims, payroll | Typically stores what was entered without checking it |
| Quality management or governance platform | Holds policies, registers and audit workflows at organisation level | Typically works at the policy and register level, not the individual shift note |
| Document repository | Stores and versions files | No |
Descriptions are of each kind of system in general, not of any specific product. For the detailed comparison with a CRM, read NDIS compliance software vs an NDIS CRM.
How NoteGate treats law and its own rules
Regulatory requirements, common audit expectations and NoteGate’s own validation rules are different things, and the guides on this site label them separately. Where a rule is NoteGate’s own practice rather than a requirement of a regulator, the guide says so. NoteGate does not predict an audit outcome and does not claim that any evidence will be accepted.
Who is it for?
- Registered NDIS providers, including SIL providers and support coordination organisations.
- Aged care providers who need notes and incident records that stand up to review.
- Providers of DVA-funded services such as community nursing.
- Multi-team and multi-site providers who want every team held to the same participant-specific rules.
