NDIS shift note compliance software checks each note before it is saved. NoteGate validates what the worker wrote against rules specific to the participant and the relevant standards, and returns anything weak to the worker with specific guidance, so weak documentation is stopped at the point of writing rather than found at audit.
What is NDIS shift note compliance software?
NDIS shift note compliance software checks each shift note against the requirements that apply to the participant and the provider before the note is saved, and keeps a record of what was checked and corrected. Here, compliance means the note meets the documentation expectations that auditors read participant records against.
NoteGate supports documentation governance. It does not determine whether a provider is compliant: that judgement stays with the provider and its auditor.
What should shift note compliance software check?
Auditors consistently look for five elements in a shift note, set out in how to write NDIS shift notes. NoteGate checks each of them against the participant’s own rules:
- When and where the support was delivered.
- Evidence linked to the participant’s goals.
- Specific, observable description of what happened, rather than opinion or vague wording.
- Risk and behaviour documentation, including a clear statement when there was no concern.
- Handover information for the next shift.
Who is shift note validation for?
Shift note validation is for NDIS, aged care and DVA community nursing providers whose auditors will read participant records as evidence. It suits organisations with several workers writing notes across shifts, where quality varies and a supervisor cannot read every note.
How does NoteGate validate a note?
- A worker writes the note in their own words. NoteGate does not generate note content.
- NoteGate removes participant identifiers before any external processing, then checks the note against the participant’s rules, drawn from their care plan, behaviour support plan and goals, and against the relevant standards.
- If the note passes, it is saved to the record with its history.
- If it does not pass, it returns to the worker straight away with specific guidance. It stays in draft until corrected.
- Supervisors can see notes that need attention, and the validated record feeds incidents, the risk register and the audit pack.
What does a failed note look like?
Fictional example. No real participant data.
Took participant out. Had a good day. No issues.
The note does not say where the participant went, what they did or which goal the support related to. Add the activity, what the participant did independently and what prompting was needed, and mention any concern or state that there was none.

What does NoteGate not do?
NoteGate does not write notes for workers, does not determine whether a provider is compliant, and does not replace a CRM. CRM integrations are in development and none is available yet, so NoteGate is used standalone today. See integrations for status.
What does it leave behind for an audit?
