NDIS documentation software for compliance

NoteGate is NDIS, Aged Care and DVA documentation compliance software by AgenticX Australia.

Last reviewed 24 September 2026

NDIS documentation software helps registered providers keep the records an auditor reads: participant notes, incidents, risks and corrective actions. NoteGate is documentation compliance software. It checks notes, incidents and care plans before they are saved and keeps the validation history, against the NDIS Practice Standards that auditors assess. It supports a provider’s documentation and does not determine whether the provider is compliant. For the wider category, read the overview of NDIS compliance software.

What is NDIS documentation software?

NDIS documentation software helps a registered NDIS provider create and keep the records its auditor and the NDIS Commission expect to see. In practice that means participant notes that are specific and current, incident records, a risk register, corrective actions and the history behind them. The software does not make a provider compliant. Compliance is assessed against the NDIS Practice Standards by the provider’s approved quality auditor (NDIS Commission).

NoteGate is documentation compliance software for that work. It checks each shift note before it is saved, keeps incidents and registers linked to the record, and builds the audit pack from normal daily records. The same platform also covers aged care compliance software and DVA compliance software needs for providers who work across programs.

What do the NDIS Practice Standards require of documentation?

The NDIS Practice Standards are organised into a core module, supplementary modules and a verification module. The core module covers rights and responsibilities, provider governance and operational management, provision of supports, and the supports environment. Within governance, the Information management outcome states that management of each participant’s information ensures it is identifiable, accurately recorded, current and confidential, and that an information management system records each participant’s information in an accurate and timely manner.

Requirement (source)What NoteGate does
Information management: participant information is accurately recorded and current (Core module, NDIS Commission)Checks each shift note before it is saved and keeps the validated record with its history
Incident management system that records and responds to incidents (NDIS Commission)Structured incident capture through Incident Reporting, linked to shift notes
Reportable incidents notified within 24 hours or 5 business days (NDIS Commission)Prompts correct documentation of the incident. Notification to the Commission remains the provider’s action. See the reportable incidents guide
Supported independent living Practice Standards from 1 July 2026 (NDIS Commission)See SIL practice standards
Restrictive practices documented and reported (NDIS Commission)Keeps a restrictive practices register. See audit registers
Auditors review participant records and want real examples (NDIS Commission)Builds the audit pack from normal daily records

Which audit does an NDIS provider need?

The NDIS Commission says a verification audit applies to providers of lower risk or lower complexity supports and is a desktop review of documents. A certification audit applies to higher risk or more complex supports and has a Stage 1 desktop audit and a Stage 2 onsite audit, where the auditor looks at how policies are implemented, including viewing records. Read the guide to preparing participant records for an NDIS audit.

How does NoteGate fit alongside an existing system?

NoteGate is a compliance layer, not a CRM. It is used standalone today. CRM integrations are in development, and none is available yet, so providers keep the tools they already use and add NoteGate for checking and evidence. See integrations.

What does NoteGate not do?

NoteGate supports documentation governance. It does not determine compliance, submit reportable incidents to the NDIS Commission on a provider’s behalf, or write notes for workers.

Frequently asked questions

What is NDIS documentation compliance?

NDIS documentation compliance is the practice of keeping participant records that are accurate, current and specific enough to be reviewed against the NDIS Practice Standards. NoteGate supports it by checking each note, incident and care plan before it is saved and keeping the validation history. It does not determine whether a provider is compliant.

Does NDIS documentation software make a provider compliant?

No. Software cannot determine whether a provider is compliant with the NDIS Practice Standards. That is assessed by the approved quality auditor and the NDIS Commission. NoteGate supports documentation governance by checking records before they are saved and keeping the evidence trail. It does not determine compliance.

What should NDIS documentation software do?

At minimum it should check documentation when it is written rather than at audit, keep a history of what was submitted and corrected, hold incident, risk and restrictive practices records in one place, produce evidence an auditor can review, and store participant data in Australia. NoteGate does each of these and is used standalone alongside your existing CRM.

How is NoteGate different from an NDIS CRM or case management system?

A CRM stores what was submitted. NoteGate checks what was submitted before it is saved and records the correction history. NoteGate is not a CRM and does not replace one. CRM integrations are in development and none is available yet, so NoteGate is used standalone today.

How much does NoteGate cost?

NoteGate starts from $88 a month incl. GST: a Tier plan set by participant count plus mandatory Risk & Compliance Intelligence, with unlimited workers. See the pricing page for each tier.
