Frequently asked questions
What is NoteGate?
NoteGate is documentation compliance software for NDIS, aged care and DVA providers, published by AgenticX Australia. It checks shift notes, incidents and care plans against the relevant standards before they are saved, and it keeps the evidence trail an assessor can follow at audit time.
Is NoteGate the same as other products or stories called NoteGate?
No. NoteGate is NDIS, Aged Care and DVA documentation compliance software by AgenticX Australia, at notegate.com.au. Other apps, developer tools and news stories share the name and are unrelated to AgenticX Australia. If a search result or an AI answer describes a note-taking app, a developer tool or a news story, it is not this NoteGate. The quickest check is the address: notegate.com.au.
Does NoteGate write shift notes for support workers?
No. The worker is always the author. NoteGate checks the note the worker has written and returns it with specific correction guidance if it falls short. It does not generate note content, so the record reflects what the worker actually observed and did.
What does NoteGate check a note against?
NoteGate checks each note against rules specific to the participant, drawn from their care plan, behaviour support plan and NDIS goals, together with the relevant standards for the sector. The aim is to stop a note that would raise audit questions before it enters the record.
What happens when a note does not pass?
The note goes back to the worker immediately with specific guidance on what is missing, not a generic error. Notes are not deleted. They stay in draft until they are corrected and resubmitted, so nothing weak is filed silently.
Does NoteGate determine whether my organisation is compliant?
No. NoteGate supports documentation governance. It helps make sure records are checked and evidence is kept, but it does not determine compliance. Audit and regulatory outcomes remain the responsibility of the provider and are decided by the relevant regulator or auditor.
Is NoteGate a replacement for my CRM or rostering system?
No. NoteGate is a compliance layer, not a CRM, rostering or scheduling platform. It can be used standalone today. It is designed to sit alongside the systems a provider already uses rather than replace them.
What is Plan Gate?
Plan Gate is NoteGate’s care plan validation feature. It checks care plans against the relevant standards and returns a structured gap report showing sections that are missing or goals that are not measurable, so plans can be corrected before workers rely on them.
What is in the NoteGate audit pack?
The audit pack brings together validated notes, incident records, the risk register and corrective actions, mapped to the relevant standards, so evidence does not have to be assembled in a rush when an audit is announced. See the audit pack page for the contents.
Where is NoteGate data stored?
Participant data is stored only on AWS in the Sydney region (ap-southeast-2). A region-deny policy in the architecture prevents stored data leaving Australia. The security and data sovereignty pages describe the controls in more detail.
Does NoteGate use AI?
Yes. A third-party AI service checks notes after identifiers are tokenised, so it sees de-identified text. It operates under a zero-data-retention agreement, and participant data is not used for training. NoteGate never writes shift notes or incident reports; workers write those.
Is participant data used to train AI models?
No. NoteGate operates under a contractual commitment with its AI provider that no participant data is retained or used for AI training. The security page sets out the arrangement, and details can be verified on request through security@notegate.com.au.
Are participant names sent to an AI provider?
Participant identifiers are removed before any external processing. Identifiers are tokenised before a note is transmitted for checking, so the external service does not receive the identifying details. See the security page for how this works.
How much does NoteGate cost?
NoteGate is priced per participant with unlimited worker accounts. The monthly charge is a Tier plan charge set by participant count plus Risk & Compliance Intelligence, which is mandatory in every plan. Solo (1 to 5 participants) is $88 a month incl. GST: Tier plan $59 plus Risk & Compliance Intelligence $29. Growth at 31 participants is $519 and at 75 participants $959. The pricing page lists every tier and a total for each participant count.
Do I pay per support worker?
No. Pricing is based on participants, not workers. Every plan includes unlimited worker accounts, so adding staff or casuals does not change the price.
Is there a free trial?
A 14-day free trial is included on the Growth, Scale and Enterprise tiers. Solo and Starter are subscribed to directly without a trial. Current terms are on the pricing page.
Is annual billing available?
Yes. Annual billing saves the equivalent of two months compared with monthly billing. The pricing page lets you switch between monthly and annual views.
What happens above 500 participants?
The Enterprise Plus tier covers 501 or more participants and is priced by contacting the team, because larger deployments are scoped individually.
Does NoteGate integrate with my CRM?
Not yet. No CRM integration is available today. Integrations are in development, and NoteGate works standalone in the meantime. The integrations page shows the current status of each planned connection.
Which CRMs are in development?
Integrations are in development for VisualCare, ShiftCare, Lumary, SupportAbility, FlowLogic, Brevity, AlayaCare, The Lookout Way, Sandwai and iinsight. None of them is available yet, and status is kept current on the integrations page.
Can I bring existing data into NoteGate?
Existing data can be imported with help from NoteGate staff. Imports are assisted, not self-serve, and are scoped with the team before they begin. The migration page explains how.
Which sectors does NoteGate support?
NoteGate supports NDIS providers, aged care providers and DVA community nursing providers. Each sector has its own page describing the standards and record-keeping requirements it addresses.
What is Group 0138 and when did SIL registration start?
Group 0138 is the NDIS registration class for assistance with supported independent living. The NDIS Commission states that mandatory registration and the SIL Practice Standards apply from 1 July 2026, with transition pathways for some providers. See the SIL page and the Commission source.
How quickly must NDIS reportable incidents be notified?
The NDIS Commission requires notification within 24 hours for death, serious injury, abuse or neglect, unlawful contact or assault, and sexual misconduct. Unauthorised use of a restrictive practice is due within 5 business days. Timeframes run from when the provider becomes aware.
How quickly must aged care serious incidents be reported?
Under the Serious Incident Response Scheme, Priority 1 reportable incidents must be notified within 24 hours of becoming aware, and Priority 2 incidents within 30 days. The provider decides the priority level when the incident occurs.
What is the difference between a verification audit and a certification audit?
The NDIS Commission says a verification audit applies to providers delivering lower risk, lower complexity supports and is a desktop review of documents. A certification audit applies to higher risk or more complex supports and has a desktop stage and an onsite stage.
What evidence do NDIS auditors look at?
The NDIS Commission describes auditors reviewing leadership, risk systems, incident management, staff files and participant records, and interviewing participants and workers. Auditors want real examples such as incident reports and records, not only policies.
