Your CRM launches NoteGate’s workflow

Clicking Shift Note or Progress Report opens NoteGate with the participant, shift, and worker identity already loaded. No second login. Staff stay in their CRM environment.

Structured compliance fields

Scheme-aware observations appear based on the participant’s funding context (NDIS, aged care, or DVA). High-risk participant alerts, behaviour of concern flags, clinician measures, and medication observations surface before documentation begins.

Real-time compliance validation

The narrative is validated against the Aged Care Act 2024 Quality Standards, NDIS Practice Standards, participant-specific rules, copy-paste detection, and your organisation’s policies. Inline guidance prompts for any missing detail.

Submit to NoteGate’s audit trail - and optionally your CRM

The validated note saves to NoteGate’s audit trail as audit-ready evidence. If a CRM is connected, it is also written into your CRM’s notes record via API at the same moment.

Your CRM continues to handle participant management, rostering, billing, care plans, scheduling, and payroll. NoteGate adds compliance authoring to the shift note and progress report step only. Your participant data, billing records, and rosters never leave your CRM.

NoteGate handles compliance authoring: scheme-aware structured fields calibrated to NDIS, aged care, and DVA; real-time validation against the Aged Care Act 2024 and NDIS Practice Standards; participant-specific rules; copy-paste detection; and the audit trail for every accepted note. NoteGate monitors regulatory changes and updates validation rules accordingly.

At submission, the validated note saves to NoteGate’s audit trail. If a CRM is connected, it is simultaneously written into your CRM’s notes record via API. The public API is live; field mappings are built for all 11 supported CRMs; no end-to-end integration is live with a customer yet - that wiring is delivered through the launch partner program. We are recruiting one paying customer on each of our 11 supported CRMs to be the first end-to-end live integration. In exchange, you get a discounted build, priority engineering, and direct input into how the connector for your CRM is shaped.

What you get

Discounted first-year subscription. Co-published case study with your branding. Named integration engineer for the build and the first 90 days of production. First refusal on shaping product features for your CRM’s user community.

What we ask in return

Permission to publish the case study with your numbers. A reference call with three prospects in your CRM’s user community per quarter for the first year. That’s it.

Build time

1 to 4 weeks per CRM, per the published API surface of each platform. We provide sandbox, sample code, and a named integration engineer throughout. Target sandbox connection time is 30 minutes for an HTTP-capable system.

Are any of the 11 CRMs live with a customer today?

Not yet. Our compliant note-taking workflow and field mappings for all 11 CRMs are built and ready. The CRM-side wiring - the inbound launch and outbound submission - is what the launch partner program builds. We are honest about this because the alternative is a buyer discovering it during a pilot.

The first paying customer on each CRM gets a discounted build in exchange for being the published case study.

What happens to our existing notes? Can we bring them in?

With launch partners live, every new shift note and progress report is authored inside NoteGate’s compliant note-taking workflow from the first keystroke. For historical notes already in your CRM, see our migration guide for CSV import paths and vendor-assisted migration options.

What standards does NoteGate validate against?

NDIS Practice Standards, the Aged Care Quality Standards under the Aged Care Act 2024, and DVA reporting requirements where applicable. NoteGate also validates against your participant-specific rules, your organisation’s tone and detail policies, and copy-paste detection across notes. Compliance criteria are calibrated separately for each scheme.
