NDIS compliance software vs NDIS CRM: what is the difference?

An NDIS CRM runs the service: participants, rosters, claims and payroll. NDIS compliance software examines the evidence the service produces. NoteGate is the second kind. It checks shift notes, incidents, risks and care plans against participant-specific requirements before they are saved, and it does not replace a CRM. Many providers use both, and this page sets out why.
Does NDIS compliance software replace a CRM?
No. NDIS compliance software and an NDIS CRM do different jobs. A CRM manages the operation of the service. Compliance software checks the quality of the documentation that operation generates. NoteGate is not a CRM, a rostering platform or a billing platform, and it works standalone today.

Your CRM manages the service. NoteGate checks the evidence.
Some operational systems include note templates, prompts or AI features. The table describes the category, not any one product. If you already have such features, check exactly what they do before the note is saved and what history they keep.
Why do some providers use both?
Three reasons come up. First, the jobs are different: the system that schedules and bills is built to keep the service running, not to question what a worker wrote. Second, the check is independent of the operational system, so it stays the same if the provider changes systems. Third, an auditor reads records, and the NDIS Commission describes audits that review participant records and trace incidents through them (types of audits), so record quality is worth its own control.
How does NoteGate work alongside a CRM?
NoteGate works standalone today. Workers write and check notes in NoteGate, and the validated record, its history, the risk register and audit packs live there. CRM connectors are in development for ten platforms and none is available yet. See integration status. Until a connector exists, a provider keeps its CRM for operations and adds NoteGate for documentation checking.
How should a provider decide?
- You need rostering, billing or payroll: that is a CRM or operational system job. NoteGate does not do it.
- Your notes vary in quality across workers, and supervisors cannot read every one: a compliance layer addresses that.
- You are preparing for a verification, certification or mid-term audit: ask what evidence your systems can produce and how weak entries are caught. See NDIS audit evidence.
- You want one system only: ask your CRM vendor what it checks before a note is saved and what history it keeps. NoteGate is one option for the check, not a claim that other tools lack it.
